How we handle personal data

This notice explains what DocuSoft Nigeria Limited does with personal data, and is written to the requirements of the Nigeria Data Protection Act 2023. It covers this website. Records we process on behalf of a client institution are governed by our contract with that institution, which is explained further down.

Who we are

DocuSoft Nigeria Limited, 28 Inuwa Wada Crescent, off Okonjo Iweala Road, Utako, Abuja. We are the data controller for personal data submitted through this website.

General enquiries: info@docusoft-ng.com. Telephone +234 703 222 0015.

Data protection officer

Name and direct contact address to be confirmed. Under the Act, a data controller of major importance must designate a data protection officer. Given the volume of records we process for client institutions, we expect to fall within that definition, and this section should carry the officer’s name and a direct email before publication.

Registration with the Commission

NDPC registration number to be confirmed. Data controllers and processors of major importance are required to register with the Nigeria Data Protection Commission. Institutions evaluating us in a tender will ask for this, so it belongs on the page.

What we collect through this site

Only what you type into the contact form: your name, your institution, your email address, your telephone number, your sector, the subject of your enquiry and any message you write.

We do not run analytics, advertising or tracking scripts, and we do not buy or receive contact lists.

Why we process it, and on what basis

To answer your enquiry and, where you ask for one, to arrange a records assessment. The lawful basis is your consent, given when you tick the box on the form, and our legitimate interest in responding to an approach about our services. You may withdraw consent at any time and we will stop.

Who else sees it

Our own staff who handle enquiries. Two processors, and no one else. We do not sell or share enquiry data.

Formspree, Inc. receives what you type into the contact form and relays it to us by email. It acts only on our instructions and does not use the content for its own purposes. Its privacy terms are at formspree.io/legal/privacy-policy.

Our email provider, in the ordinary course of delivering that mail to the Abuja office.

Transfers outside Nigeria

The contact form is processed by Formspree, Inc., which operates from the United States. Submitting the form therefore transfers your name, organisation, email address, telephone number and message outside Nigeria. If you would prefer not to make that transfer, write to us directly at info@docusoft-ng.com, telephone 09136 000 107 to 109, or use WhatsApp.

Safeguard to be confirmed. Section 41 of the Act requires the legal basis for this transfer to be stated here: adequacy, contractual clauses, or the data subject’s consent. Counsel should settle which applies and it should be named in this paragraph. The hosting arrangement needs the same treatment once it is fixed.

How long we keep it

Retention period to be confirmed. Our intention is to hold enquiry data only as long as the enquiry is live, and for a defined period afterwards for record keeping. State the actual period here rather than leaving it open, because “as long as necessary” is not a period.

Your rights

Under the Act you may ask us for a copy of the personal data we hold about you, ask us to correct it if it is wrong, ask us to delete it, object to our processing it, ask us to restrict processing, ask for it in a portable form, and withdraw any consent you gave.

Write to info@docusoft-ng.com and we will respond. If you are not satisfied with our response you may complain to the Nigeria Data Protection Commission.

The Ask DocuSoft assistant

The assistant runs in your browser and contacts nothing. It answers from a file of information taken from these pages, downloaded with the page itself. Nothing you type into it is transmitted to us, logged, or stored anywhere, and closing the panel discards the conversation. It is not a route by which we collect personal data.

If it is ever connected to an outside language model provider, that provider becomes a processor, this notice will name it and say what it receives, and the cookies page will be updated. Until then, treat the assistant as a search of this website rather than a conversation with us.

Records we hold for client institutions

This is the larger part of what we do and it works differently. When we digitise, store or manage records for a ministry, agency, bank or mission, that institution remains the data controller and we act as a processor under a written contract. We process those records only on the institution’s documented instructions.

If you are the subject of a record we hold on behalf of an institution, your request should go to that institution rather than to us, and we will support them in answering it.

Security

Vetted staff, supervised handling, controlled access to the archive facility, and a logged movement history on every physical file. System specifics are set out in the contract for each engagement.

Changes

If this notice changes we will update the date below. Material changes affecting existing enquiries will be notified directly.

Last updated August 2026. This notice needs review by counsel against the Nigeria Data Protection Act 2023 and the Commission’s guidance before publication.
