People, processes and information · Abuja, Nigeria
Converting Information into Intelligence.
We help organisations transform documents, data and business processes into trusted information that supports smarter decisions, greater efficiency and better outcomes.
Practical support from people who understand records, workflows and the realities of day-to-day operations.
The record so far
Cumulative across every engagement since 2009.
Delivered and signed off. Bids in progress are not counted.
Seventeen years doing the same work, under the same name.
Nigeria, Ghana and the Republic of the Congo.
These are our own figures, not the industry's. We can show the project by project breakdown behind them, which is more than most of this market will do.
Trusted by leading organisations
Our Clients
Our experience spans Oil & Gas, government institutions, parastatals, NGOs, international development and leading corporate organisations.
Selected client experience. Client names are shown for reference only and do not imply endorsement.
What we do
Eight services, one chain of custody.
Most clients start with one and add the rest. The value is in the handover between them: a file that is scanned, indexed, stored, retrieved and eventually destroyed without ever leaving a documented trail.
Document scanning
High volume capture of files, registers and bound records, indexed so they can be found.
Electronic document management
Deployment and support of the platform that best fits your institution, not the one we happen to sell.
Physical archives
Secure storage and managed retrieval at our Jabi facility, with an audit trail on every movement.
Records management and file tracking
Retention schedules, classification and knowing where a physical file is at any moment.
Process automation
Approvals, routing and correspondence workflows built around how your office actually works.
Secure destruction
Witnessed shredding at end of retention, with a certificate for the record.
Scanners and capture equipment
Kodak Alaris accredited. Production scanners supplied, installed and supported.
Training
Records officers, registry staff and system users, trained on the standards they are held to.
How we work
We are not a reseller with a favourite product.
We are platform independent by choice. We hold vendor accreditations across several systems and we recommend the one that fits your retention rules, your budget and your existing estate. If the right answer is a platform we do not sell, we will say so.
A vendor that only sells one platform will find a reason why that platform suits you. Our accreditations sit across the market, so the recommendation is a judgement rather than a foregone conclusion.
We run the archive ourselves
The facility in Jabi is ours, staffed by our own people. Digitisation and storage are not subcontracted, which is why chain of custody is a promise we can actually keep.
Barcoded boxes, controlled access, and a movement history on every item. Retrieval is by request, delivered physically or scanned and sent the same day.
Enterprise content management
CarpediumECM, delivered with DocuSoft implementation expertise.
DocuSoft Nigeria Limited offers CarpediumECM as a value-added reseller. We help organisations assess fit, plan deployment, configure the solution, onboard users and access implementation and support services around their document lifecycle needs.
Manage the document lifecycle
Support document capture, indexing and classification, controlled access, version history and organised repositories within a structured content management environment.
Deployment options
Discuss the deployment approach that best fits your security, infrastructure and operational requirements, including cloud, on-premises or hybrid arrangements where supported by the product.
DocuSoft’s role
As the value-added reseller, DocuSoft can help with requirements assessment, licensing enquiries, implementation coordination, configuration, training and ongoing support. CarpediumECM remains a separate software product; DocuSoft does not claim ownership of it.
Our own product
Appraisium: performance management built for the public service.
Not an international HR platform adapted to Nigerian rules. Built to the federal appraisal structure, configured to each MDA, and already running at the centre of government.
Capture
Prepared, scanned, checked, indexed.
Where the files may not leave the building
Work runs at our bureau or inside your registry, whichever your records policy allows. Where files cannot be removed we bring the equipment and the operators to you and work under your supervision.
Output is delivered into the system you already run, or as searchable PDF/A for long term preservation.
Destruction
Four diplomatic missions ask us to destroy their paper.
Secure destruction is the part of the lifecycle most suppliers treat as waste disposal. It is the part where a mistake cannot be undone.
The British High Commission in Abuja and Lagos, and the Embassies of Switzerland, Ireland and Australia, have used us for document destruction. So has Mott MacDonald in the United Kingdom, where the engagement ran to sixty tonnes.
We shred at end of retention, under witness, against a schedule agreed and signed before a single box leaves the shelf. You keep the certificate and the itemised list of what was destroyed. Where the material may not leave the premises, we bring the equipment to it.
Why institutions stay
The work is dull, and that is the standard.
Answerable
Every file movement, every scan batch, every destruction is logged. When a decision is questioned three years later, the record supports it or it does not, and ours does.
Cleared people
Our operators handle pension files, petroleum contracts and diplomatic correspondence. Staff are vetted, supervised and bound by confidentiality.
On site where it matters
Some records may not leave the building. We deploy scanning teams into your registry and work under your supervision rather than removing the files.
Same time zone
Support is in Abuja. When a registry stops working, the people who fix it can be in the room that morning.
Start with an assessment, not a proposal.
We will look at what you hold, how it is filed and what your retention rules require, then tell you what is worth doing first. It costs you a morning.
